Soft Opening on Pre-Conference Workshop Day: Wednesday, Nov 29, 2023, 10:00 a.m. - 2:00 p.m.
(Workshop participants take short mid-morning and afternoon breaks and lunch hour. Plan accordingly.)

Step-By-Step Registration Instructions:

  1. You will not be able to pay as you complete this Space Request form. Wait for the email with your space assignment.

  2. The "Main Contact" for this registration should be the person who should receive the invoice and other communications about the exhibit.
     
  3. Prepare the exhibit request form. For best results, gather your information before starting. 
    • "Number of Booths" - Enter the number of exhibit spaces being requested.
    • Refer to the floor plan attached at the bottom of these instructions.
    • Click on "Select Preferences" - Provide up to 3 space preferences. Click on the SAVE button to save the preferences.
    • Each booth space may have up to 3 staffers. Enter the exhibit staff names and email addresses, clicking on "Add Person" as needed.
    • A short company description and answers to a few questions are required.
    • Be sure to specify your furniture needs.
    • Be sure to enter the sales contact information that you want customers to have. 
    • Attest that you have read the liability statement. 
       
  4. The "Main Contact" will receive an email confirming the Space Request has been received.

  5. AFTER the space has been assigned, a confirmation email will be sent to the "Main Contact" with 1) the space number(s), 2) an link to the invoice, and 3) a link to pay via VISA, MC, or PayPal.  Payment is due upon receipt to reserve the space that has been assigned to you.

  6. Your information will be shared with Freeman Exhibit Services who will send you a link to their Exhibitor Kit with specific information and options by mid-October. You will coordinate directly with Freeman on additional furniture and other options, if needed. 


Exhibit Schedule & Details

Please ensure that all staff attending the exhibit show are informed of the following details to ensure a smooth experience.

Arrival & Set-Up:

  • Date: Wednesday, November 29, 2023
  • Time: 09:00 a.m. – 02:00 p.m.

    (Exclusive early setup for Visionary, Champion, and Ally GSBA Associates on Tuesday, November 28th from 03:00 p.m. - 05:00 p.m.)

  • Location: Exhibit Area - Garden Court; Check-In - Ansley Room - Second Floor, right of the Habersham Ballroom 

 

Actions:

  • Check in at the Ansley Room to collect your credentials, directions, and any updated information.
  • Verify the accuracy of your Name Badges, which must be worn by all staff throughout the event.
  • Note that each Exhibit Space can pre-register up to 3 (three) exhibit staff badges. For example, if you are registering for 2 spaces, you may have up to 6 exhibit staff badges. Please list all Exhibit Staff on the registration form. We will request confirmation before the conference to streamline the check-in process. Everyone must be registered and wear a conference badge. Additional people may register for a Business Representative badge, which is a full conference badge including Thursday/Friday meals, using THIS SEPARATE REGISTRATION LINK

Exhibit Show & Reception:

  • Date: Wednesday, November 29, 2023, Exhibitors arrive after 9:00 a.m.
  • Timing:
    • 10:00 a.m. - 2:00 p.m. (Soft Opening)
    • 02:00 p.m. - 05:00 p.m. (Official Opening and Welcome Reception)
  • Features:
    • Enjoy mid-morning break refreshments in the exhibit area.
    • A boxed lunch is optional and available for $58; use THIS SEPARATE REGISTRATION LINK.
    • More mid-afternoon break refreshments in the exhibit area.
    • Join the Welcome Reception from 3:30 p.m. to 5 p.m. in the exhibit area, with bar and snacks. Exhibitors are encouraged to offer games and prizes during the reception.


Continuation of Exhibit Show:

  • Date: Thursday, November 30, 2023
  • Timing: 7:00 a.m. - 2:30 p.m.
  • Offerings:
    • Start your day with a continental breakfast, included for all.
    • Participate in the Voluntary Time of Inspiration at 7:30 a.m. in the Wilton Room.
    • Mid-morning break refreshments are included.
    • Opt for a plated lunch available for $65 by using THIS SEPARATE REGISTRATION LINK.
    • Continue networking with mid-afternoon break refreshments.
    • Begin the breakdown at 2:30 p.m. when ballroom doors close and attendees are in sessions. Double check that you have taken all your belongings.

Second and Final Day of Conference (no exhibits):

  • Date: Friday, December 1, 2023
  • Timing: 8:30 a.m. - 11:00 a.m.
  • Special Event: Join the Friday Breakfast Session for $50 per person using THIS SEPARATE REGISTRATION LINK.

What is Included in the Exhibit Price?

  • Electricity and Carpet:
    • All booths include electricity and the area has hotel carpeting.

    • If you prefer, you may order additional carpet through Freeman Exhibit Services.

    • Optional: Bring an extension cord just in in case you need it. GSBA does not have extra cords to loan and the on-site A/V company will charge extra for theirs.

    • If you are bringing equipment other than computer or TV equipment, please notify Pam Harrison, pharrison@gsba.com, immediately. Encore (formerly PSAV) has to approve your plan. They will provide additional electrical services if needed for a fee.

  • Free WiFi in the public and meeting spaces.

  • Access to the Exhibitor Lounge (Ansley Room) adjacent to the Exhibit Area. Wednesday, November 29 and Thursday, November 30 from 7:00 a.m. – 5:00 p.m.

  • Welcome Reception - Wednesday, November 29, 3:30 p.m. - 5:00 p.m.

  • Standard Exhibit Package provided by Freeman Exhibit Services is included in booth price:
    • 8’ high back wall
    • 3’ high side drape
    • Specify: (1) 6’ x 30” H draped table OR 6’ x 42” H draped table
    • Specify: (2) Limerick side chairs OR Limerick Stools
    • (1) wastebasket
    • 7” x 44” one-line booth ID sign

NOTE: In October, Freeman Exhibit Services will email the Exhibitor Kit to the Main Contact which describes how to order additional furniture, ship, and other services. Exhibitors may also bring in their own furniture.

  • THREE (3) Exhibit Staff badges are included but do not include meals. Be sure to list ALL who will be attending on the Exhibit Staff list on the registration. Prior to the conference we will ask you to double check so that the check-in process goes smoothly and efficiently. Everyone must be registered and wear a conference badge.

  • Additional staff must register separately for full conference Business Representative badges - $550/each. A Business Representative badge includes access to the exhibit show,  all Thursday and Friday sessions, Thursday lunch and Friday breakfast session. (GSBA Associates who exhibit will receive a discount on the first additional badge. Contact Pam Harrison for the discount code.) use this separate link to register additional staff. 

  • Lunches are not included but can be purchased by November 9, 2023. use this separate registration to order exhibitor meals. 
    Wednesday boxed lunch ($58/each) - Thursday plated lunch ($62/each) -  Friday breakfast ($50/each)
    Note: Thursday lunch and Friday Breakfast are included in additional badges (Business Representative badges) that are purchased. 

  • Access the Whova conference app will allow you to engage with attendees. Learn to use the app to your advantage. A link to access the app will be sent to you prior to the show.

  •  A 20-word company description will be seen in the Whova conference app.

  • Voluntary Time of Inspiration from 7:30 a.m. - 8:15 a.m., Thursday morning, is a gathering of attendees and you are welcome to join them.

  • Listing on the GSBA Website and the Whova conference app. Conference sponsors are featured in the conference app with their own page. If you want additional visibility, consider these advertising and sponsorship options.


Lodging

Our school officials are allowed to reserve rooms at the Waverly first. Our room block at The Waverly sells out quickly. If you need lodging, you are encouraged to make reservations at one of the overflow hotels. Special rates will be apply until the deadline. Please let them know you are attending the GSBA/GSSA conference.

Cancellations

Exhibit cancellations must be received by November 1, 2023 midnight, via email to pharrison@gsba.com, to receive a refund minus a $100 administrative fee. Refunds will not be given after November 1, 2023.
